Terms and Conditions

Please carefully read the following roles and responsibilities of  each of the parties with respect to the 2017 NW Book Festival, taking place at Pioneer Courthouse Square on July 29, 2017. 


Unloading/ Setup:

Authors/ Vendors can unload their vehicles in the Square at the SW 6th Ave entrance between 8:00 and 9:30 AM. Please get there early! We will be closing the entrance at 9:45 AM, so all unloading must be completed by then. Please unload your car and move it from the square so we can get everyone in smoothly and on time. Do not set up your tent until you have removed your vehicle from the premises. If you need someone to watch your material while you park, please let us know and we will have someone available.

Curbside loading/ unloading is not allowed per the City of Portland. We are not responsible if you get a ticket.

Unloading is limited to 5 minutes per car. Any car that is on the premises for more than 5 minutes will be subject to a $50 parking fee.


Takedown/ Loading:

Authors/ Vendors need to remove all merchandise and decorations from the premises between 4:30 PM and 5:45 PM. Please take down your tent and pack up all of your material before bringing your car into the square so we can get everyone out on time.

Again, loading is limited to 5 minutes per car. Any car that is on the premises for more than 5 minutes will be subject to a $50 parking fee.

Please do not wait until everyone else is gone before packing up your stuff. Our contract with Pioneer Courthouse Square requires us to vacate the premises by 6 PM. There will be a $150 fee if you remain in the Square after 6 PM.



Authors and Vendors are required to abide by all requests to ensure the safety and security of all participants and persons on the premises. Upon check in, all Authors and Vendors will be supplied with a badge to be worn for the duration of the event. Badges must be worn.



All Authors and Vendors must provide their own tent, table and chairs. We also recommend bringing water as the Festival happens at the height of summer. If you are purchasing electricity, please make sure you have extension cords and/or a power strip. 9 Bridges cannot be held responsible for supplying tents, chairs, tables or other miscellaneous equipment.

Single author tents may only contain books by the one author assigned to the tent. If you would prefer to share a tent, we can help put you in touch with other authors who would like to do the same, but you will need to work out the equipment details among yourselves and file one registration as a group.


Operating Hours:

The Festival will be open for business from 10:00 AM – 4:30 PM. Please make arrangements to be present for the entire festival. It is disruptive to other participants if you set up once the festival has started or pack up your tent and leave early. Please do not show up late or leave early. Any vendor not complying with this request will not be invited back.



There are several garages in the immediate vicinity that offer all-day parking. The cost is around $6 for the day.


Choice of Spaces:

Authors/ Vendors who have preregistered will have first choice of spaces. After that, spaces will be assigned on a first come/ first-served basis. If there is a specific spot you would like to have, please let us know when you register and we will do our best to accommodate your request.



The Author/ Vendor is solely responsible for all damages, claims and/or suits arising from his/her/their activities at the event. The Author/ Vendor agrees to indemnify and hold harmless 9 Bridges and its representatives in the event any suit or claim is filed against them.


Cancellation/Refund Policy:

50% refund if cancellation is received before midnight on March 31, 2017. No refunds will be given for cancellation notices received after this time. No exceptions.
