Booth Assignments and Author information:

Authors/ Vendors who have preregistered will have first choice of spaces. After that, spaces will be assigned on a first come/ first-served basis. If there is a specific spot you would like to have, please let us know when you register. We will try to honor booth requests as much as possible but cannot make guarantees.

 

Equipment:

All participants are responsible for their own equipment. This means a tent, table and chairs, as well as any miscellaneous things you might need (like water and sunscreen). We will not be providing tents, tables or chairs. 

 

Unloading/ Setup:

Authors/ Vendors can unload their vehicles in the Square at the SW 6th Ave entrance between 8:00 and 9:30 AM. We have assigned you a time for loading in in order to make set up as safe as possible for everyone. Please be courteous and respectful when loading in. We will be closing the entrance at 9:45 AM, so all unloading must be completed by then. Please unload your car and move it from the square so we can get everyone in smoothly and on time. Do not set up your tent until you have removed your vehicle from the premises. If you need someone to watch your material while you park, please let us know and we will have someone available.

 

Curbside loading/ unloading is not allowed per the City of Portland. We are not responsible if you get a ticket.

Unloading is limited to 5 minutes per car. Any car that is on the premises for more than 5 minutes will be subject to a $50 parking fee.

 

Security:

Authors and Vendors are required to abide by all requests to ensure the safety and security of all participants and persons on the premises. Upon check in, all Authors and Vendors will be supplied with a badge to be worn for the duration of the event. Badges must be worn.

Single author tents may only contain books by the one author assigned to the tent.

 

Come Prepared:

All Authors and Vendors must provide their own tent, table and chairs. We also recommend bringing water as the Festival happens at the height of summer. If you are purchasing electricity, please make sure you have extension cords and/or an outlet. Don’t forget something to weight down your tent (gallon jugs of water secured with zipties are a great low-cost option)

 

Be Courteous:

Please be mindful of others and respect our operating hours. It is disruptive to other participants if you set up once the festival has started or pack up your tent and leave early. Please do not do it. Any vendor not complying with this request will not be invited back.

 

Parking:

There are several garages in the immediate vicinity that offer all-day parking. The cost is around $6 for the day.

 

Takedown/ Loading:

Authors/ Vendors need to remove all merchandise and decorations from the premises no later than 5:45 PM. Please take down your tent and pack up all of your material before bringing your car into the square so we can get everyone out on time. We will have volunteers available if you need someone to watch your stuff while you get your car.

Again, loading is limited to 5 minutes per car. Any car that is on the premises for more than 5 minutes will be subject to a $50 parking fee.

Please do not wait until everyone else is gone before packing up your stuff. Our contract with Pioneer Courthouse Square requires us to vacate the premises by 6 PM. There will be a $150 fee if you remain in the Square after 6 PM.
